I'm going to share the exact shortcuts my team uses every day, organized by job function rather than some arbitrary technical grouping. I'll also share the methods we used to actually make these shortcuts stick, because knowing shortcuts and using them are entirely different things.

The Shortcuts Financial Controllers Actually Use

After observing our most productive users, I've compiled the shortcuts that deliver the biggest time savings for different roles:

For the AP/AR Processing Hero

ShortcutWhat It Really DoesTime Saved
Alt+NCreates a new record/document2–3 seconds per transaction
F8Copies the field value from the row above3–4 seconds per line item
Alt+OPosts and creates a new document4–5 seconds per transaction
Ctrl+PgDn/PgUpMoves between document tabs1–2 seconds per view change
Alt+Q then type "vendor"Jump directly to vendor list5–8 seconds per lookup

Our accounts payable team processes over 2,500 invoices monthly. These five shortcuts alone save them approximately 14 hours of work every month—nearly two full workdays.

Real-world impact: One of our AP clerks processed an entire month's utility bills (43 invoices) in 37 minutes using these shortcuts, down from her previous average of 94 minutes.

For the Inventory Manager Who's Always Swamped

ShortcutWhat It Really DoesWhy It Matters
F5Refreshes inventory dataCritical during busy receiving periods
Shift+F3Filters to only items with negative inventoryQuickly spot problems
Alt+Q then "adj"Jump to item adjustment journalFaster than navigating menus
Ctrl+Alt+F1Shows field information for troubleshootingInvaluable for complex items
Ctrl+EExports any list to Excel for analysisBeats built-in reporting

Real-world impact: Our warehouse manager reduced cycle count processing time from 3 hours to 75 minutes primarily through efficient navigation and data entry shortcuts.

For the Financial Reporter Racing Against Month-End

ShortcutWhat It Really DoesWhy It Matters
Alt+T, PPreview any reportCheck formatting before distribution
Alt+Q then "GL"Jump to chart of accountsDirect access to critical data
Ctrl+EnterPost journal entriesKeeps you in the entry screen for the next batch
Alt+F10Shows validation errorsQuickly find posting problems
Ctrl+Shift+Alt+CCopies entire row with formattingPerfect for report adjustments

Real-world impact: Our controller shaved three full days off our monthly close process after mastering these and other shortcuts—giving executives faster access to critical financial data.

The Hidden Shortcuts Nobody Tells You About

Beyond the documented shortcuts, I've discovered several "unofficial" key combinations that make everyday tasks much easier:

The "Quick Filter" Trick

When looking at any list:

  1. Start typing (without clicking anywhere)
  2. Business Central automatically activates the search filter
  3. Your data filters instantly as you type

Why it's amazing: No need to click the search box or use a keyboard shortcut to start—just type. This works in customer lists, vendor lists, journals, and nearly any other list in the system.

The "Double-Escape" Navigation

When deep in a transaction:

  1. Press Esc once to close the current page
  2. Press Esc again to go back to your role center

Why it's amazing: This gets you "home" from anywhere in the system with just two keypresses instead of hunting for the home icon or breadcrumb trail.

The "Alt+Down" Item Selector

When in a lookup field:

  1. Press Alt+Down Arrow
  2. A dropdown list appears without clicking
  3. Use arrow keys to select, then Enter to choose

Why it's amazing: This keeps your hands on the keyboard during data entry, eliminating the constant hand movement to the mouse that causes fatigue and repetitive strain.

Job-Specific Shortcut Combinations That Save Hours

Based on time-and-motion studies with our team, these shortcut combinations yield the biggest productivity gains for specific tasks:

Sales Order Processing Magic

Process a sales order from creation to posting in record time:

  1. Alt+N (New sales order)
  2. Type customer name (Quick Filter activates)
  3. Enter to select customer
  4. Tab to item line
  5. Type item number
  6. F8 to copy quantities for multiple items
  7. Alt+P to post

Time savings: Our sales team cut order entry time from an average of 4.3 minutes to just 1.7 minutes per order using this sequence.

Bank Reconciliation Acceleration

Fly through bank reconciliations with this sequence:

  1. Alt+Q, type "bank rec" and Enter
  2. Tab to statement ending balance
  3. Alt+A to apply entries automatically
  4. Use Spacebar to manually match remaining items
  5. Alt+P to post reconciliation

Time savings: Monthly reconciliations now take 40 minutes instead of 2+ hours.

Inventory Adjustment Workflow

Update inventory counts quickly after physical counts:

  1. Alt+Q, type "phys inventory" and Enter
  2. F8 to copy item information down
  3. Tab to quantity field
  4. Alt+C to calculate the difference
  5. Alt+P to post

Time savings: Seasonal inventory adjustments that once took a full weekend now complete in a single afternoon.

How We Actually Got Our Team to Use These Shortcuts

Knowing shortcuts is one thing—actually using them is another. Here's the system we used to transform our team's habits:

1. The Post-It Method

We printed small Post-It notes with the 3-5 most valuable shortcuts for each role and stuck them to monitor bezels. This visual reminder stayed in users' field of vision until the shortcuts became second nature.

2. The Weekly Challenge

Each week, we introduced one new shortcut to master. We tracked usage with a simple tally sheet, with small prizes for the most consistent adopters.

3. The Shortcut Buddy System

We paired power users with those still learning. During the first 10 minutes of the day, they would work together with the goal of using specified shortcuts.

4. The Time Trial Approach

We created friendly competitions: complete a specific task as quickly as possible using shortcuts. This gamification dramatically increased adoption rates.

Results: Using these techniques, we achieved a 90% shortcut adoption rate within two months, compared to virtually no usage before our initiative.

The Hidden Benefits Nobody Talks About

Beyond the obvious time savings, keyboard shortcuts delivered unexpected benefits:

Reduced Physical Discomfort

Before shortcuts, three team members suffered from wrist pain due to constant mouse usage. After switching to keyboard-centric work, all reported significant improvement or complete resolution of symptoms.

Fewer Data Entry Errors

Counterintuitively, faster work led to fewer mistakes. When using shortcuts, our team made 38% fewer data entry errors. Why? The rhythm of keyboard work creates a flow state that actually improves concentration.

Enhanced Job Satisfaction

In our annual employee survey, team members who mastered shortcuts reported 27% higher job satisfaction. Many cited "feeling more competent" and "less frustrated with the software" as key factors.

Improved System Perception

Before our shortcut initiative, team surveys rated Business Central as "somewhat difficult to use" (5.8/10). After adopting shortcuts, perception improved to "very efficient" (8.3/10)—despite the software itself not changing at all.

Common Stumbling Blocks and How to Overcome Them

Based on our experience with dozens of users, here are the most common challenges with shortcuts and proven solutions:

Challenge: "I forget to use them."

Solution: The Post-It method works wonders, but also try setting a hourly reminder to use shortcuts for the next task. After about two weeks, usage becomes more automatic.

Challenge: "I'm slower with shortcuts at first."

Solution: Start with just two shortcuts and use them exclusively for three days before adding more. The temporary slowdown turns into significant time savings once muscle memory develops.

Challenge: "Different shortcuts in different screens confuse me."

Solution: Focus on universal shortcuts first (Alt+Q, F8, Tab navigation) before adding context-specific ones. These work consistently throughout the system.

Challenge: "I revert to old habits under pressure."

Solution: Practice shortcuts most intensively for recurring tasks when you're not under time pressure. Once they become automatic for routine work, you'll use them even during busy periods.

Beyond Basic Shortcuts: Advanced Productivity Techniques

Once you've mastered the basic shortcuts, these advanced techniques take productivity to another level:

Personalized Quick Access

Right-click on any page and select "Add to My Settings." This creates a personalized menu accessible via Alt+Q that bypasses standard navigation entirely.

Keyboard-Only Report Generation

Configure your most-used reports with saved parameters, then create keyboard shortcuts to run them in a single step.

Multi-Window Processing

Use Alt+N in a separate browser tab to reference information while processing transactions in your main window.

Real-world application: Our inventory team uses this technique to view historical receiving patterns in one window while creating purchase orders in another, improving forecasting accuracy.

Final Thoughts: Small Changes, Massive Results

After implementing keyboard shortcuts across our finance and operations teams, we calculated the total time savings: approximately 1,240 hours annually across 14 users. That's equivalent to adding a part-time employee without increasing headcount.

More importantly, the team reports feeling more in control of their work and less frustrated with the software. As one team member put it, "I used to feel like I was fighting with Business Central all day. Now it feels like we're working together."

Start small. Pick three shortcuts from this guide that align with your most frequent tasks. Practice them deliberately for one week. I guarantee you'll never go back to the old way of clicking through screens and menus again.
